This section outlines the required billing and service transfer steps when a website is moved from one shop account to another during a Change of Ownership (COO). It ensures all services, credits, and billing records are accurately transitioned to prevent duplicate charges or service disruptions.

Overview

This SOP outlines the required billing and service transfer steps when a Change of Ownership (COO) involves moving a site from one account (old shop code) to another (new shop code).


🔁 COO Scenario: Site Moving Between Accounts

Step 1: FAF (AX28) Setup

  • Open AX28 under the old shop code
    • Verify if the account is enrolled in FAF
  • If enrolled:
    • Open a new AX28 under the new shop code
    • Match all FAF details from the old code
  • Then:
    • Cancel FAF under the old shop code
    • Stop billing for the old code

Step 2: Email Plus (CO10) Transfer

  • Open CO10 under the old shop code
    • Check if Email Plus is active
  • If yes:
    • Open a new CO10 under the new shop code
    • Replicate the setup from the old code
  • Then:
    • Cancel holiday scheduling under the old shop code
    • Validate:
      • Current year holidays ✅
      • Next year holidays ✅

Step 3: Service Items (AF02.1)

  • Open two AF02.1 screens
    • One for old shop code
    • One for new shop code
  • Start all active eFlorist services on the new shop code that exist on the old code

⚠️ Critical Validation – Last Bill Date

  • Review all service items (especially credits)
  • If any item has a future Last Bill Date:
    • Update it appropriately
    • Ensure billing alignment between accounts
