Procedure for Sending Files
We are updating the way sensitive information is shared with shops and partners. Effective immediately, all files containing customer or shop account data must be sent as password‑protected documents.
This change helps ensure that sensitive information is handled securely and reduces the risk of unauthorized access. Sending files unprotected over email is no longer permitted, and this updated process provides an additional layer of security for our shops.
1. Convert the file to a protected document before sending. 2. Use the “Secured File” Quick Reply. 3. DO NOT include shop ID in SUBJECT LINE or body of email.
Steps to Secure the File
- Open the document you need to send.
- Go to File > Save As.
- Do NOT include the shop ID in the file name.
- Use: Shop Name + Description of File (example: Bloom Florist – Order Report)
- Change the file type from CSV (Comma delimited) (.csv) → Excel Workbook (.xlsx)
- Click More Options (below the file name field).
- Select Tools (next to the Save button).
- Choose General Options.
- In the Password to Open field, enter the 8‑digit Shop ID.
- Click OK, then Save.
See video below for visual instructions.
If you have any questions or need help with the new process, please reach out. Thank you for helping ensure we continue to handle sensitive information safely.
